Operations & Executive Support (Full-Time)

We’re looking for a detail-oriented and dependable Virtual Assistant to help streamline daily operations, support leadership, and deliver outstanding customer service. This full-time role combines operations management, executive assistance, and process optimization for a high-performance entrepreneurial team.

Key Responsibilities:

  • Managing and improving operational systems, processes, and best practices.

  • Overseeing daily operations across all departments to maximize efficiency and productivity.

  • Monitoring key performance indicators (KPIs) and implementing necessary improvements.

  • Collaborating with leadership to define and achieve strategic objectives.

  • Leading and supporting cross-functional teams.

  • Ensuring adherence to company policies and relevant industry regulations.

  • Performing data entry and administrative tasks.

Tools & Platforms:

  • Google Workspace (Docs, Sheets, Slides, Gmail, Drive)

  • GoHighLevel (CRM and automations)

  • Zapier (for automating workflows)

  • Internal in-house software (training provided)

Qualifications:

  • At least 1–2 years of experience in operations, executive assistance, or admin support

  • Strong background in customer service and communication

  • Able to understand, optimize, and execute processes consistently

  • Excellent English (spoken and written) and people-facing professionalism

  • Highly organized and adaptable with a proactive mindset

  • Available Monday to Friday, 9 AM–6 PM EST, and Saturdays 10 AM–1 PM EST (as needed)

  • Comfortable working full-time and adjusting hours if schedules shift

  • Internet speed of at least 10 Mbps download / 5 Mbps upload

  • Backup internet source (mobile data or pocket WiFi)

  • Headset with mic and webcam

  • Quiet and professional home workspace
