We're looking for a proactive, organized, and resourceful Executive VA to be a founder's right hand, taking the admin and operations off their plate so they can focus on growing the business.
You'll support everything that drives revenue and visibility: speaking, consulting, training programs, courses, and content. If you love keeping things on track and aren't shy about following up until things actually get done, you'll thrive here.

Key Responsibilities:
Own and maintain the executive calendar, including scheduling, confirming, rescheduling, and preventing conflicts
Build preparation, travel, recording, strategy, and follow-up time into the calendar and protect CEO revenue-generating time
Send daily appointment and preparation briefings and maintain a rolling 30/60/90-day view of key dates
Triage the executive inbox, flag priority messages, draft responses in the founder's voice, and track unanswered correspondence
Maintain a VIP list of important relationships and follow up after introductions and networking events
Research speaking opportunities (conferences, podcasts, panels, summits), track deadlines, and submit approved speaker applications
Maintain speaker bios, headshots, topics, and AV materials; coordinate contracts, travel, logistics, and event briefing sheets
Follow up with event organizers for testimonials, referrals, photos, videos, and future opportunities; track pipeline value and revenue
Manage incoming business inquiries, enter qualified prospects into Salesforce, schedule discovery calls, and send pre-call questionnaires
Research prospects, prepare meeting briefs, send proposals and contracts, follow up on outstanding proposals, and coordinate client onboarding
Maintain weekly consulting pipeline and revenue reports and flag leads that have gone cold
Maintain the 90-day Direct Care Worker training calendar, coordinate instructors, monitor registrations, and send confirmations and reminders
Prepare rosters and training materials, track attendance and certificates, maintain student records, and follow up on certificate renewals
Promote upcoming classes, track training revenue, and flag under-enrolled classes early
Manage course-production projects from concept to launch, including scripts, assets, worksheets, quizzes, recording, editing, uploads, checkout, and automation
Administer basic WordPress and MemberPress updates, update website content and lead magnets, and test forms, links, and checkout workflows
Coordinate website contractors and track projects through completion
Maintain the editorial and content calendar, organize brand assets, and turn ideas and voice notes into organized assignments
Coordinate editors, designers, and podcast production; schedule approved content and repurpose long-form content
Maintain contacts in Salesforce and track introductions, partners, referral sources, and follow-ups
Research and analyze speaking, training, consulting, partnership, PR, and business development opportunities with recommendations, costs, deadlines, and next steps
Maintain a CEO Master Project Dashboard (status, owner, next action, deadline, blockers, revenue potential) and follow up with team members and contractors
Consolidate leadership reports for BVLEC, maintain a CEO decision log, and flag issues requiring executive attention
Prepare agendas, attendee information, and desired outcomes for meetings; document decisions, owners, and follow-up actions
Research and coordinate flights, hotels, event registration, and transportation; prepare travel briefings and maintain confirmations

Qualifications:
3+ years supporting an executive, founder, CEO, entrepreneur, or senior leader
Excellent executive communication and written English
Strong project management and follow-through
Executive-level calendar management
Strong research and analytical skills
Experience managing leads, pipelines, or revenue-related activities
Strong organizational and reporting skills
Able to learn and manage new technology independently
Sound judgment and decision-making
Comfortable managing multiple priorities in a fast-paced environment
Bonus points for: Salesforce, WordPress/MemberPress, project management, speaking or event coordination, training or LMS administration, sales pipeline management, AI-assisted productivity, and remote team or contractor coordination
